What Info We Actually Collect

When you sign up to train with us, we need the basics - name, email, phone number, address. Pretty standard stuff. If you're grabbing a membership or booking personal training sessions, we'll need payment details too (but that's handled through secure processors, not sitting on our servers).

We also track gym access through our 24/7 keycard system. Nothing creepy, just making sure members can get their late-night lifting sessions in and keeping non-members out.

How We Use Your Data

Here's the deal - your info helps us run the gym better. We'll shoot you emails about class schedules, new programs we're rolling out, or if there's maintenance happening. Sometimes we'll send workout tips or nutrition advice from our coaches, but if that's not your vibe, you can opt out anytime.

We use attendance data to figure out peak hours and plan classes accordingly. Nobody wants to show up for boot camp and find it's packed to the walls, right?

Who We Share It With (Spoiler: Almost Nobody)

We don't sell your data. Period. That's not how we operate. The only folks who might see your info are payment processors (like Stripe or whatever we're using), and only what they need to process transactions. If there's a legal requirement - like a court order or something - we'd have to comply, but that's super rare.

Our coaching staff can access member profiles to track progress and customize training plans, but they're bound by confidentiality agreements.

Yeah, our site uses cookies. Mostly for keeping you logged in and remembering preferences. We're not doing anything shady with 'em. There's some analytics running (Google Analytics, probably) so we know if the website's actually working or if everyone's bouncing after 5 seconds.

Your Rights & Control

Canadian privacy laws (PIPEDA) give you solid rights. You can request to see what data we've got on you, ask us to correct something that's wrong, or delete your account entirely. Just hit us up at info@shadowthornverse.info and we'll sort it out within 30 days.

Security Measures

We've got encryption on our systems, regular backups, and access controls so not just anyone can peek at member data. Our staff gets trained on privacy protocols annually. Are we Fort Knox? Nah, but we take reasonable precautions and stay updated on best practices.

Data Retention

We keep your info as long as you're a member and for about 7 years after you leave (tax and legal requirements, unfortunately). After that, it gets purged from our systems. If you want it gone sooner, let us know and we'll see what we can do within legal limits.

Changes to This Policy

If we update this policy, we'll post the new version here and update the date at the top. Major changes? We'll send an email. We're not gonna sneak anything past you.

Common Questions

Nope. Your training logs, progress pics, body composition scans - that's between you and your coach. We don't sell it, share it, or use it for anything except helping you get stronger.

Yeah, absolutely. Send us an email and we'll wipe your data (except what we legally gotta keep for taxes and stuff). Takes about 30 days to process fully.

We'd notify you immediately - like within 72 hours. We'd also report it to the Privacy Commissioner as required by law. Then we'd fix whatever got compromised and let you know exactly what info was affected.

We've got security cameras in common areas for safety reasons, but not in changing rooms or bathrooms (obviously). Footage is kept for 30 days then deleted automatically. We only review it if there's an incident or theft.

We ask about injuries, medical conditions, and fitness history so coaches can design safe programs for you. High-intensity combat training ain't a joke - we need to know if you've got a dodgy shoulder or heart condition before throwing you into burpees and heavy bag work.
